Before you start

The things you are about to wonder.

I do not have a floor plan file. Can I still use this?

Yes. Upload a PDF or an image of the venue and AI detection marks the booths out for you, so you start from a drawn floor rather than a blank one. If you have nothing at all, draw it yourself in the map editor - rows, aisles, zones and the entrance.

What stops two vendors buying the same booth?

The booth itself. The moment a vendor starts checkout it is held for thirty-five minutes, and no one else can claim it - the floor plan every other vendor is looking at updates at the same instant. If that vendor never finishes, the hold lapses and the booth returns to the map on its own.

Do my vendors need to create an account?

No. A vendor gets a link, picks a booth and pays. There is no password to set and no account to manage, which is the difference between a vendor booking in two minutes and a vendor emailing you instead.

Can I approve vendors before they pay?

Yes - turn on apply-first for that event. Vendors apply with photos, their selling category and a booth preference, you approve or decline each one, and approved vendors get a link to pay. Nothing is committed until you say so. Events that do not need review stay instant-book.

Can one vendor take more than one booth?

Yes. A booking is one vendor's purchase of one or more booths at one event, so a vendor taking two booths side by side, or two booths across the hall from each other, is a single booking, a single payment and a single row in your list.

Do I need my own Stripe account?

Yes, and that is deliberate. Vendors pay into your Stripe account, not ours - you are the merchant of record, the money is yours from the moment it lands, and Captain Expo never holds it. Connecting takes a few minutes and it is the only setup step before you can sell.
